Positions and Duties


Below is a list of the primary volunteer positions for OCALICON 2016. Additional positions and duties may develop as needed.

Volunteers agree to work one full day of the conference (approximately 7:00 am - 6:00 pm) and in return receive complimentary registration for the other 2 days of the conference.

All volunteers must attend the mandatory Volunteer Orientation at the Greater Columbus Convention Center either:

  • 7:00 - 8:00 pm EST | Tuesday, November 15  
                                 OR
  • 6:00 - 7:00 pm EST | Wednesday, November 16

Note: Wednesday volunteers must attend the Tuesday orientation. Thursday volunteers can attend either the Tuesday or Wednesday orientation.


Bag Distribution (less-mobile option)

  • Exchange attendee bag tickets for conference tote bag and conference materials
  • Scan bag tickets into conference database
  • Provide general conference information to conference attendees

CEU Booth (less-mobile option)

  • Provide attendees with available CEU credits information
  • Answer questions about specific CEU requirements and approved sessions per organization
  • Distribute and collect organization-specific CEU forms

Exhibit Hall (good communication skills preferred)

  • Greet attendees and monitor exhibit hall entrance to ensure that only attendees with appropriate ribbon enter the exhibit hall
  • Provide general conference information to conference attendees
  • Assist exhibit hall coordinator with meeting exhibitor needs
  • Provide general hospitality services to exhibitors
  • Monitor beverage levels in the exhibitor lounge and contact the exhibit hall coordinator to replenish, as necessary

Greeter/Navigator (good communication skills and familiarity of convention center preferred)

  • Greet and welcome conference attendees
  • Assist attendees with finding conference materials, session rooms, and seats for keynotes
  • Provide general conference information to conference attendees
  • Monitor needs of conference attendees with ADA requests and assist as needed

Pod Coordinator (leadership and coordination skills preferred)

  • Oversee all room monitors in the pod area
  • Provide basic troubleshooting and support for presenter presentations
  • Contact the volunteer coordinator for escalating problems or concerns
  • Assist room monitors with individual room duties as needed
  • Collect and sort all evaluations from room monitors and give to volunteer coordinator
  • Provide general conference information to conference attendees

Pod Entrance (less-mobile option)

  • Greet attendees and monitor pod entrance to make sure that attendees have the appropriate conference credentials
  • Provide general conference information to conference attendees

Presenter Lounge (basic technology troubleshooting skills preferred)

  • Greet presenters and monitor presenter lounge to ensure that only those with the official presenter ribbon enter the presenter lounge
  • Provide basic Internet connection troubleshooting
  • Contact the volunteer coordinator for escalating problems or concerns
  • Monitor beverage levels and contact the volunteer coordinator to replenish, as necessary
  • Provide general conference information to conference attendees

Presenter Storage Room (less-mobile option)

  • Receive presenter materials and issue claim tickets
  • Store and monitor presenter materials
  • Collect claim tickets and return presenter materials
  • Provide general conference information to conference attendees

Room Monitor (good communication skills preferred; room monitors may be assigned to more than one room)

  • Greet and welcome presenters
  • Assist with presentation set up, as needed
  • Coordinate A/V troubleshooting through A/V company, if needed
  • Provide speaker introduction, if requested
  • Distribute and collect evaluation forms
  • Notify presenter if session is running over time
  • Post cancellation notices as necessary or required
  • Provide general conference information to conference attendees
